Task Assignees
DASH Workflows offer flexibility in task assignment, ensuring that the right team members are matched with the right tasks. This not only streamlines processes but also minimises the risk of errors in task management.
Assignee options available:
Current User: For the first task in the workflow, Current user setting will assign the task to whoever started the workflow. For other tasks in the workflow, it will be used to assign to whoever completed the previous task.
Previous Assignee: Whoever the previous task was assigned to, not whoever completed the task
Contact Owner/Team (Role Assignment):
Use Owner/Team → Team Name when you want the task assigned to a specific person responsible for that client within a team.
Example:
John and Sally are members of the Client Admin team.
For Client A, John is assigned as the Client Admin.
For Client B, Sally is assigned as the Client Admin.
A workflow task is assigned to Owner/Team → Client Admin.
When the task is activated, the system checks who the Client Admin is for that client and assigns the task directly to that person.
Think of this as assigning the task to a role, where the actual person is determined by the client's ownership settings.
Specify Users:
This is user to assign a task to a specific individual user OR to a team (pooled work)
Example:
John and Sally are members of the Client Admin team.
A workflow task is assigned to Client Admin using the Specify User option.
When the task is activated, it is assigned to the Client Admin team, not John or Sally specifically.
Any member of the team can view the task, pick it up, and reassign it to themselves.
Think of this as a shared inbox for the team.
