User Management

All users must be assigned a Role and a Licence.

Definition of Role  

A role determines the user’s permission to access the core functionality/resources.

Definition of Licence  

User licenses are primarily to control what App(s) within the App Store users can subscribe to. 

Role Types

Admin

(Suited for System Admin or Business Owner)

  • Access to all Contacts

  • Access to Store

  • Access to Settings

  • Can grant access to specific clients to users with Limited and Viewer roles. 

  • Can subscribe to apps for all other users. 

  • Controls billing details, access templates for Workflows, Agreements, and Documents

Standard

(Suited for Advisers, in-house Paraplanners, Support staff)

  • Access to all Contacts List 

  • No access to Store 

  • No access to Setting

  • Can grant access to specific clients to users with Limited and Viewer roles. 

  • Can only use apps subscribed to by Admin user. 

Limited

(Suitable for Outsource Paraplanners)

  • Permission-only access to Contacts 

  • No access to Store 

  • No access to Settings 

  • Can only access permitted clients. 

  • Can only use apps subscribed to by Admin user. 

Viewer

(Suitable for Compliance Managers and Auditors)

  • Permission-only access to Contacts 

  • Read-only access 

  • Can only access permitted clients. 

  • Read-only access to CRM & file notes 

  • No access to apps. 

Custom

(Lets you choose specific permissions based on your needs)

  • Allows flexibility to allow edit, view or delete access

  • Refer to section below on Custom Roles for further details

Custom Roles

In DASH, if you navigate to 'Settings' > 'Users', and select the third tab 'Roles', you can select the Green '+' icon to create a Custom Role.

You can enter the name of the Custom Role you would like to create, and for the different areas you can choose from the following permissions:

Manage

  • Full admin access to read, write and delete

    This allows users to view, edit and delete and export all data in the area/s selected

General

  • Read, write only

    This allows users to view and edit data

    Noting that with edit access, certain elements can be deleted for the purpose of editing such as deleting fees within an Agreement, but not the whole Agreement itself, unless Delete permission is also provided

View

  • View only

    Users will not have the ability to edit or delete any data

Delete

  • Additional selection which allows General or View options to also delete specific data

Restricted

  • Limits access to only permitted Contacts. Permission is granted by adding the user as an Owner to that Contact

Permissions can be set individually for different access to DASH such as Contacts, User Management and Templates.

Details

General Section

Permissions of Manage, General, View, Delete and Restricted can be chosen for each of these options in the General section.

Selecting Restricted for Contacts will result in other general sections honouring this setting. This is ideally suited to outsourced staff or large practices where the user only wants to view clients that belong to them.

User Management

Permissions of Manage and View options can be chosen and assigned for both User and Role settings.

Group Settings

Permissions of Manage and View options can be chosen for each of these Group Settings sections.

These settings are independent from each other - A user that has 'Manage' Contacts settings but has 'View' or 'General' permissions for contacts will be able to delete settings such as Contact Categories but not delete any contacts.

Group Templates

Permissions of Manage, General, View, Delete and Restricted can be chosen for each of these sections for Group Template management.

Example Custom Role

If the options in the screen shot below are selected, the user assigned to this:

  • Can add a new Contact

  • Can edit any Contact that they have been granted permission

  • Cannot delete a Contact

  • Can create and edit dashboards, but cannot delete a dashboard

  • Can create, edit and delete Agreements for those Contacts that they have been granted permission for

  • Cannot export data
